Overview

Running a building business means keeping track of clients, site visits and a team with different diaries. A request to rearrange a meeting can involve several people, time zones and a recurring appointment that should otherwise stay intact.

Katie was built for a senior operator at Masters Touch. It brings scheduling into a conversation, with direct access to Microsoft 365 calendars and separate tools for briefings, research and company information.

Inside the build

Coordinate several diaries

Katie identifies the right colleagues, checks their availability and finds a time that works across their calendars. Meeting requests can include Microsoft Teams links.

Handle recurring meetings

The calendar service distinguishes between a single appointment and a recurring series. It supports booking, rescheduling and cancellation without treating every change as a new meeting.

Prepare for the day

A briefing agent brings together the day's schedule and relevant information. Calendar summaries and time-allocation analysis provide a broader view of where time is going.

Keep approval with the person

The assistant asks for confirmation before making calendar changes. Its conversation retains context, so a follow-up request can build on what has already been discussed.

The work behind a simple request

“Find half an hour with the team next week” is straightforward to say. Acting on it requires the system to resolve names to the right Microsoft accounts, compare availability and interpret the requested dates. A follow-up such as “make it every Tuesday” introduces a different set of calendar rules.

We built a Python service around Microsoft Graph to handle those operations. Katie delegates calendar requests to a specialist agent, while the main assistant manages the conversation in Telegram. Briefing, weather and web-research tools have their own defined jobs.

The wider build included email tools and persistent memory. The calendar integration was the most substantial part: account resolution, availability, recurring events and the checks needed before an assistant changes someone's diary.
