Dexter

A proactive assistant for real-estate agents. Dexter reads CRM activity, prepares individual briefings and helps agents decide which conversations need attention.

Overview

A sales manager can see a pipeline full of activity without knowing where each agent is getting stuck. Dexter was built to look at the work behind those numbers: follow-ups, appointments, calls, conversations and the progress of individual deals.

Developed as a pilot for a real-estate operation using Follow Up Boss and Ylopo, the agent was designed to support individual agents throughout the day. It combines CRM records with the team's procedures, then brings relevant information into Slack.

Inside the build

Individual daily briefings

Scheduled briefings give an agent a starting point for the day, drawing on their appointments, tasks and deal activity.

Progress and KPI context

Dexter can retrieve people, deals, tasks, calls and messages from Follow Up Boss. Those records provide the context for reviewing activity and spotting gaps in follow-up.

Practical guidance

The agent can consult the team's operating procedures when responding to a question or reviewing a difficult situation. Guidance is grounded in the team's own material.

Proactive follow-up

The workflow supports scheduled check-ins as well as replies in Slack. The aim is to bring an issue to the agent's attention while they can still do something about it.

A useful view of the person behind the pipeline

The brief went beyond answering questions about the CRM. Dexter needed to understand what an individual agent was working towards, recognise when progress had slowed and help them think through the next step.

We connected read access to the CRM with document retrieval, conversational memory and scheduled workflows. This let the assistant use current activity alongside the team's process, rather than respond from a generic sales prompt.

The pilot focused on briefing and guidance. CRM actions remained with the people running the deals.
